How do I assign rights to a user through predefined roles?

With the new rights assignment of COREDINATE it is possible to assign already predefined rights in the form of roles to individual users

When creating a user, it is possible to assign them a specific role or a team (see here).

This saves you time and also headaches as to which rights the user must have in order to complete certain tasks in COREDINATE. These users can be employees or customers who require certain rights in the portal or app. We explain how you can set this up in this article.

You have the option of using ready-made system roles or creating your own individual roles.

If you click on + Create role on the right above the list, you will now see the input window in which you can now create your own role.

Enter a name for your role and specify which rights this role should have by first selecting whether the user should be able to log in to the app, the portal or both. In our example, we have created a role for an employee who should only work on the app and have the rights to see memos.

Click on Save to return to the list of roles, where you can now also see the role you have created.

If you no longer need the role you have created, you can delete it again. Alternatively, you can also change the role, rename it, etc. at any time.

 

System roles cannot be changed or deleted!

You can click on the name in this list of the role you have created to change it at any time (e.g. if you need more, fewer or different rights for this role)

In our example, we assume that you create a new user (assuming you have the necessary rights)

Click Administration -> Users in the main menu.

Now click on + Create user at the top right under your name. You must first define the assignments for this user.

You can assign the user either company-wide, to customers, to individual objects or to team(s). You can find out what teams are and how to create teams here.

After you have clicked on Continue, enter the name and user name as well as the password for the user. All fields and symbols must be displayed in green, as shown in the following image.

If you now click on Continue, you will be taken to the rights selection screen.

We have combined the rights into groups to give you a better overview.

 

Specify which rights the user should have. You can select your previously created role or a predefined system role to save time when assigning rights, but you can still select all required rights manually. You can also assign the user to a team (see also here) and take over the rights of the team for this user, provided you have explicitly assigned rights to the team yourself.

Click on Create new. You are now in the individual view of the newly created user, where you can check once again whether everything has been entered correctly.

Clicking on the respective tabs above the information shows you the assignments and also the roles used and the user's released rights, as shown in the following illustrations.

You can change the assignments by clicking on the small pencil to the right of the word Teams.

At this point, you can change the rights, e.g. grant additional access to the portal. Now you can either set the rights by selecting a role or select the rights individually.

If you ever want to revoke a user's right to log in to the portal, for example, switch the switch to the right of User may log in to the portal off again. You will immediately receive a warning which you must confirm. After clicking on Confirm, the user can no longer log in to the portal.

Give the user additional rights and then click on Save (our created user also receives the right to log in to the portal and the Portal user role),

the system will immediately show you that your changes have been successfully applied.
