What the guard tour software captures during every patrol
A single patrol generates eight data types. The table below shows what they are and which technical properties matter when choosing guard tour software for your security operation.
| What is captured | How | Technical detail |
|---|---|---|
| Checkpoint scans | NFC tag, Bluetooth beacon, or GPS-based security checkpoint system | Timestamps immutable after upload · Offline buffer 4–5 days |
| Location | GPS tracking, battery-optimized | Shift movement history, filterable · GPS tracks stored 6 months · GDPR-compliant opt-out available |
| Incidents | Photo + voice note with auto-transcription | Real-time transmission · categorizable for audits · Photos stored immutably · Voice notes auto-transcribed |
| Task status | Appears automatically on scan as a required field | "Completed / Not completed + reason" — fully logged in the digital logbook |
| Man down alarm | Manual panic button (Crosscall CORE M6) or automatic on inactivity | Certified to DIN V VDE V 0825-11 · Standards-compliant lone worker protection |
| Shift times | Automatically logged when scanning defined checkpoints | CSV export · Payroll-compatible · No manual timesheets |
| Forms & checklists | Digital versions of your existing paper forms | Required fields · automatic reminders · linkable to specific checkpoints |
| Key handovers | Manual documentation or NFC key seals | Full chain of custody · unique identification · tamper-evident seals |
Your security officers place NFC tags at checkpoints themselves, scan them with the guard tour app, and assign a name. It takes minutes per site and requires no special tools or technician visits. More about checkpoint scanning →
In parking garages, basements, or areas with no signal, the guard tour app stores all scans locally for up to five days and syncs automatically once connectivity returns. No data gaps, no manual re-entry after a shift. Learn more: What is a guard tour system? →
With flexible forms, you can replicate your existing paper checklists in COREDINATE and link them to specific checkpoints. When a security officer scans a boiler room checkpoint, the water meter checklist appears automatically. Required fields prevent skipped items, and all completed forms are instantly visible in the portal.
COREDINATE logs every key handover with date, time, and the responsible security officer's name. In addition to manual documentation via the app, tamper-evident NFC key seals identify an entire key ring with a single scan. Unauthorized removal requires visibly breaking the seal, providing an additional layer of physical security.
Also used as security guard management software in: facility management, corporate security, event security, parking management, and fire safety inspections.
Certified lone worker protection, included in every plan
A panic button only helps while the security officer can still press it. That is why the guard tour system also detects inactivity and triggers the alarm automatically. Both alarm types, paired with the Crosscall CORE M6, meet the DIN V VDE V 0825-11 standard for personal emergency signal systems — the German equivalent of BS 8484 in the UK.
Manual panic button
A single press on the Crosscall CORE M6 triggers an immediate alarm. For situations where the security officer can still act: assault, medical emergency, imminent danger.
Automatic inactivity alarm
At configurable intervals, the app prompts the security officer to confirm they are okay. If there is no response, a pre-alarm sounds first. If there is still no response, the full alarm triggers automatically — even if the security officer is unconscious or incapacitated.
Alarm escalation flow
DIN V VDE V 0825-11 defines the technical requirements for personal emergency signal systems (comparable to BS 8484 in the UK). COREDINATE meets this standard in combination with the Crosscall CORE M6, X5, or M5. This is a certified, standards-compliant lone worker protection system — not a checkbox feature.
With the man down alarm, my colleagues feel safe too — because I know not just their location, but their condition in case of an incident. A safe situation for both sides. That is how you take responsibility for your people.

What your client sees in the guard tour report
During a compliance review, your client wants proof of presence — whether the agreed checkpoints were covered at the agreed times. The PDF export from the guard tour system shows exactly that: security officer name, checkpoint, timestamp, GPS coordinates, and attached photos. The report is generated with a single click in the portal.
Handwritten patrol logs can be filled in after the fact — and everyone knows it. Trust in paper-based documentation is eroding not out of bad faith, but because the gaps are obvious and do not hold up in court or insurance claims.
In COREDINATE, all data is immutable after upload. This is technically enforced, not by policy. Even an administrator cannot retroactively delete or alter entries. Checkpoint scans are retained for the entire contract duration, GPS tracks for six months. The PDF report is generated in one click — not in 30 minutes of post-shift paperwork. All incidents flow automatically into the digital logbook, which is equally audit-proof and exportable.
What the PDF report contains
- Security officer name and shift times
- Checkpoints with timestamps and GPS
- Attached photos and incident reports
- Task status per checkpoint
- All data immutable after upload
- Retained for the full contract duration
"We use COREDINATE to provide our clients with clear, tamper-proof reports on the services we deliver."

Frequently asked questions about the guard tour system
Does the system work offline, for example in parking garages?
Yes. The app stores all scans locally for up to five days and syncs automatically once a connection is restored. This applies to NFC scans, incident reports, and time tracking alike.
What happens during a server outage? Is data lost?
No. COREDINATE runs on geo-redundant AWS infrastructure in Frankfurt with automatic failover. If one server goes down, another takes over seamlessly. The app continues working offline in the meantime. No data is lost.
Can officers modify or delete scans after the fact?
No. All checkpoint scans, incidents, and timestamps are technically immutable after upload. Even an administrator cannot retroactively delete or alter entries. Audit-proof documentation is based on the technical impossibility of tampering, not on a company policy.
We already use a different guard tour system. Can we test COREDINATE in parallel?
Yes. The test kit is designed for exactly this. You receive NFC tags and a device for 14 days and can run COREDINATE at one site alongside your current system. No migration effort, no cancellation risk. Parallel operation during the trial is the easiest way to compare directly.
Does the man down alarm meet lone worker protection standards?
Yes. COREDINATE paired with the Crosscall CORE M6 meets DIN V VDE V 0825-11, the technical standard for personal emergency signal systems. This is a certified solution — not a checkbox feature. More about lone worker protection →
Client portal: what your customers see in the guard tour system
No more manual reporting
Your client gets configurable, direct access to real-time data and PDF reports. What they can see is controlled through the permissions system. This replaces email attachments, daily summaries, and "can you send me that report again?" calls. In contract tenders, the optional client portal is often the argument that wins the bid.
Real-time visibility instead of status requests
Active shifts, completed checkpoints, and reported incidents with photo evidence are visible at any time. Clients who manage multiple security providers immediately see the difference when one of them uses a digital guard patrol system with real-time proof of presence.
"What we appreciate about COREDINATE is having instant access to the system from anywhere. If something is delivered or damaged, the officer on site takes a photo right away, and the client can address the issue immediately."

4 steps to your first documented patrol
Setting up the guard tour software requires no appointment and no training. Here is how it works:
Order your test kit
You receive NFC tags, portal credentials, and optionally a Crosscall loaner device by mail. The trial lasts 14 days — no credit card, no contract required. If you already have an Android or iOS smartphone with NFC, you can use that too.
Place NFC tags at checkpoints
Your security officers stick the tags at checkpoint locations and name them directly in the app by scanning. It takes a few minutes and requires no tools or technicians.
Configure patrol routes in the portal
Group checkpoints into routes, set the sequence, and attach tasks. In the same portal, set up the built-in shift scheduler, which handles leave, sick days, and qualifications. Completed shifts feed automatically into time tracking with CSV export for payroll. Initial setup for a mid-sized site: about 30 minutes.
Generate your first report
Once the first patrol is completed in the guard tour system, you can generate the PDF report with one click. If desired, set up client portal access now. Data is available immediately — no post-shift paperwork.
Transparent pricing — all features included
Every core feature of the security guard tracking software is included in both plans. The only difference is contract length.
